THE POSITION

Are you looking for an entry level opportunity to experience working in the professional services environment?  Does a fast paced, dynamic, collaborative, fun culture interest you?  The Brattle Group is seeking a full-time Operations Assistant position to join the team in our Toronto, ON office which is centrally located with subway and PATH access.  This role is ideal for someone who is self-driven, flexible, team and customer service oriented. The Operations Assistant will be exposed to many facets of the business and have opportunities to contribute in a variety of areas.  Responsibilities include reception related duties, office maintenance, catering/meeting set-ups, and providing administrative and research support to the consulting team. This position reports to the Business Support Services Manager.

The core duties of this position include:

  • Answer and route office phone calls and act as first point of contact for visitors
  • Maintain all reception related documents and schedules (e.g., New Employee and Visitor Guides, phone lists, office information, conference room schedules, etc.)
  • Ensure daily neatness and tidiness of general office space, including kitchen, common areas, and conference rooms
  • Ensure office is stocked, maintain inventory, and order supplies as needed (paper, pens, snacks, beverages, etc.)
  • Provide administrative and project support to consulting staff and other project team members
  • Coordinate travel and manage travel itineraries
  • Provide formatting, editing, and proofreading support for work products
  • Respond to data and research needs, directing consulting staff to and assisting them with appropriate data resources and research tools
  • Contribute to special projects as assigned by manager which may include: special event planning, firm related research projects, and seasonal mailings

THE CANDIDATE

This position requires strong organizational, collaboration, and time management skills, as well as the ability to handle numerous responsibilities and deliverables.  The ideal candidate will possess:

  • Bachelor’s Degree required
  • 1-2 years of administrative experience ideally in professional services environment
  • Intermediate knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required
  • Strong ability to take initiative and ownership of projects and responsibilities
  • Must be self-motivated, have the ability work independently, and keep in constant communication with team members and manager
  • Maintains strict confidentiality and exercises appropriate judgment
  • Must thrive in a fast-paced office environment handling multiple tasks and demands concurrently
