The Executive/Personal Assistant will support the Head of Business Development who is a partner of the firm. The position will be a combination of personal assistance and administrative work for this partner. In addition, the incumbent will provide administrative support to the Investor Relations and Human Capital Development departments, which are managed by the Head of Business Development.


PRIMARY RESPONSIBILITIES:
• Responsible for personal needs including running a variety of errands, travel planning, coordinating personal schedules, event/party planning and purchasing personal items and gifts
• Provide administrative support including arranging travel, scheduling meetings, updating contact information, preparing expense reports, organizing client entertainment and completing other office organization tasks
• Assist with the preparation of meeting materials and other reports or documents
• Assist with the maintenance of the Investor Relations client relationship management system
• Provide back-up for other administrative staff
• Involved with special project work as needed


REQUIREMENTS:
• College degree and relevant work experience; prior experience working for a financial services company would be a plus
• Strong proficiency in Microsoft Office applications including Outlook, Excel, and PowerPoint
• Ability to manage multiple tasks, prioritize effectively, meet deadlines, and deliver high quality, error free work in a fast-paced environment
• Approach all aspects of responsibilities with the highest level of discretion and integrity
• Excellent interpersonal and communication skills
• Strong work ethic, initiative, and a proactive approach
Expected to work 45-55 hours per week, availability to check email on the weekends for important matters that may arise (i.e. need to change travel arrangements)
