Description

Primary Duties & Responsibilities
  • Support the Marketing department with various administrative tasks including but not limited to: data entry, copying, literature fulfillment, report printing, filing, typing, stuffing envelopes, and faxing as needed.

  • Works closely with Marcom Specialist and Marketing Specialists to ensure that administrative needs for department programs are met.

  • Planning, coordinating and processing logistics for tradeshows, vendor shows, and other related events or conferences.

  • Responsible for entering and maintaining data in department databases such as: the project management system, the image database, and file archive database.

  • Pulls data and reports from those databases as needed.

  • Posts files for various marketing content or content assets to appropriate servers and databases as requested or defined by department processes. Tracks this information.

  • Tracks and maintains status of active literature, promo items, and tradeshow materials.

  • Helps carryout obsolescence as necessary per approval process and established criteria.

  • Helps maintain copy machines and group printers.

  • Processes purchase requisitions for the department. Ensures that the proper signatures are obtained.

  • Provides back up for customer support and the front office as needed with phone support and other administrative duties as needed.

     

General Duties & Responsibilities

  • General administrative support including but not limited to: department travel arrangements, meal/event reservations, general filing or coordination of items within the department.
  • Additional duties as assigned.

Job Complexity

  • Establishes productive relationships with co-workers and customers to accomplish department objectives.
  • Works on assignments that are semi-routine in nature where ability to recognize deviation from accepted practice is required.
  • Ability to work on multiple projects simultaneously and across multiple staff and departments.
  • Exercises judgment within defined procedures and practices in selecting methods and techniques for obtaining solutions.
  • Must be highly organized and self-motivated.

Education and Experience Requirement

  • Undergraduate degree or equivalent in marketing, communications, or life science.

  • 1 year of office experience

  • Proficiency in data entry, excel, word processing, and database software.

  • Experience with Adobe Acrobat, marketing automation systems, and project management software a plus.

  • A minimum of 1 year of experience in marketing or office administration.
