Project Assistant

DEA’s Survey and Geomatics group is currently hiring for a Project Assistant in our Santa Clarita, CA office.  The Project Assistant would be responsible for a variety of project-specific duties including general office tasks in a fast-paced, professional engineering and survey firm. Duties could include the following:

Position Duties:

  • Set up new project directories and oversee the maintenance of project files;
  • Organize and schedule project meetings and prepare meeting agendas and minutes;
  • Correspond with clients and subconsultants;
  • Format and perform quality reviews of large and small documents such as reports, letters, memos, minutes, etc;
  • Coordinate the production and distribution of deliverables to the client;
  • Assisit in preparing project documents, reports, change order, and proposals
  • General office duties, mail, delivery and pick up from local jurisdictions, office supply, …

Basic Qualifications:

  • 1 to 2 years’ experience in office administrative and project-related duties;
  • High School Diploma or equivalent is required;
  • Advanced skills in Word and Excel required  - priority placed on Excel skill level;
  • Must be a highly organized, detail-oriented, team player with positive "can do" attitude;
  • Ability to prioritize and complete multiple tasks with a high degree of accuracy;
  • Excellent grammar, spelling and overall communication skills;
  • Additional software skills in Access, PowerPoint, MS Project, Windows Explorer, Adobe, or similar programs a plus.

Preferred Qualifications:

  • 2-4 year college degree;
  • Previous experience in the consulting  industry;
  • Experience with project contracts and invoicing as well as general accounting practices;
  • Additional software skills in Access, PowerPoint, MS Project, Windows Explorer, Adobe, or similar programs.
  • Preparation of project contracts, project set-up, and subsequent change orders;
  • Prepare subconsultant agreements and task orders;
  • Prepare and review project invoices and prepare progress reports;
  • Review project subconsultant invoices;
