Position description: Intellectual Property Administrator

The successful candidate will become a member of the Ironwood Legal Department, reporting to the Senior Patent Counsel. The individual in this position will support the IP group in patent docketing, managing the docketing system, coordinating with external counsel, and assisting with patent prosecution and litigation.  The individual will also oversee and manage the electronic invoice system for the legal department.  The complexity and volume of work requires significant IP experience with strong problem-solving skills to help secure protection for the intellectual property of a dynamic and innovative pharmaceutical company.  This is a highly visible position within the legal department with opportunities for new responsibilities and challenges.



  • Maintain Ironwood’s IP docketing system:

    • Review and manage all incoming correspondence from external counsel regarding patent and trademark portfolios; review all applicable deadlines and response dates for accuracy; correctly docket all deadlines and response dates in docketing system; regularly audit docketing system database for accuracy and completeness

    • Work closely with IT department and docketing provider on software issues and updates

    • Upload and categorize all relevant correspondence and official documents into docketing system

    • Coordinate with external counsel to complete all necessary formal documentation and ensure timely filing

    • Prepare regular docket reports and provide other portfolio reports as needed; communicate upcoming deadlines to in-house counsel

    • Coordinate with in-house attorneys regarding annuity payments and provide instructions to annuity services and external counsel

  • Provide administrative support to in-house counsel on patent prosecution and litigation matters

  • Manage electronic invoicing system for legal department:

    • Review IP invoices in electronic invoice system to ensure they are complete and correctly categorized

    • Provide training to legal group, onboard new users and firms, , and interacti with electronic invoice provider


Basic qualifications:

  • A bachelor’s degree or a paralegal certificate

  • 5+ years of relevant experience performing docketing duties

  • Knowledge of patent procedural requirements and USPTO and PCT practices

  • Extensive computer skills, including relevant experience maintaining legal files and managing docketing and electronic invoice systems

  • Strong organizational and problem-solving skills

  • Excellent interpersonal, written and oral communication skills, with demonstrable ability to work in fast-paced, interactive cross-functional teams


Preferred qualifications:

  • Prior IP administrative experience in the biotechnology/pharmaceutical industry

  • Experience using Patrix Patricia docketing system
