About the Role

 

Description

The Facilities Manager is responsible for the care, maintenance and upkeep of our main office located on Navy Pier, and for supporting our bureau offices on the South and West sides of Chicago, and in Indiana.  The Facilities Manager will be responsible for ensuring our facilities are well-maintained, clean, secure, highly functional and welcoming for our staff and guests.  The Facilities Manager will manage key vendor relationships for cleaning, maintenance and repair (HVAC, elevator, electrical, plumbing, exterior aesthetics), catering, safety and security, and general supplies, as well as maintain a positive working relationship with important members of larger Navy Pier staff.  The Facilities Manager will also be the main liaison to Navy Pier for managing our onsite employee and guest parking relationship as well as all be responsible for all Navy Pier venue-related communications to the staff. 

 

CPM is about to embark on a project to renovate its office space.  Planning is underway now and construction will begin in January of 2019.  The Facilities Manager will play a key role in ensuring the success of the renovation project.  The renovation will require a portion of the staff to move off-site for an extended period of time.  The Facilities Manager will work with the renovation’s Project Manager to make sure that the relocation is successful and operations are run seamlessly during the project.

 

We are seeking an individual who can serve as the principal caretaker of our work environments and bring a pride of place and passion to this role.  Candidates should be organized and energetic, effective and clear communicators, enjoy juggling many things at once, and able to manage projects on time and on budget.  This role reports into our VP of Finance, but will interface with many parts of our operation.  A successful candidate will become an indispensable part of our culture and a highly valued member of our team.

 

Responsibilities

  • Ensure facility is kept clean and our infrastructure and furniture and fixtures are in good repair;
  • Manage the working relationships with our service providers to ensure the major systems are maintained (Cleaning Crew, HVAC, plumbing, electrical, elevators, fire extinguishers and lighting);
  • Manage all facility-related vendor relationships including review of invoices received and reconciliation of expenses against budget;
  • Manage our on-going relationship with key personnel at Navy Pier, as well as our relationships with landlords at the remote bureau locations, to ensure that the landlords are meeting their obligations and any issues are being addressed in a timely fashion;
  • Ensure facility is kept secure and safe.  Maintain all fire extinguishing equipment and fire safety and emergency evacuation procedures.  Ensure staff is kept current on fire safety and emergency evacuation procedures and administer fire and safety drills on a regularly scheduled basis;
  • Assist Project Manager with all aspects of renovation and operations during off-site moves, including organizing office clean up and off-site document storage before renovation commences; off-site moves during renovation; and, move back to Navy Pier office space;
  • Order general supplies (cleaning supplies, coffee and kitchen supplies, etc.  This does not include office supplies which are handled by specific departments) and ensure adequate inventory is on hand;
  • Handle facility-related requests for special meetings and events (Staff meetings, Board of Directors Meetings, Committee Meetings, Sounding Board Meetings).  Manage the setup and breakdown seating and tables in the configuration needed;
  • Manage and fulfill any equipment requests (IT maintains AV equipment), and ensure any specific security needs are handled for special meetings and events;
  • Ensure conference rooms are kept in working order and have the supplies needed.

 

 

Qualifications

  • 5+ years of facility management of an office space of equivalent size
  • 3+ years of direct vendor management responsibility including vendor selection decisions
  • Prior experience managing to a budget
  • Demonstrated project planning and execution skills
  • Desire to be part of a mission-driven organization that serves the greater Chicago community.
  • Excellent oral and written communication skills
  • Excellent people skills.
