Job Summary:

The Administrative Assistant I is involved in the communication between team employees and clients, customers, and other employees, acting as the initial contact for those interacting with team. They organize communications, set up meetings, and coordinate schedules for team members, as well as assist with report management and development.

Principal Accountabilities:

  • Assist in preparation of expense reports for team members.
  • Track and update all expenses for department ledger and gather for monthly forecasting.
  • Manage travel schedules and coordinate travel logistics (e.g., book flights, hotels, amenities, appointments, meetings, etc.).
  • Provide administrative and clerical support to team to complete daily tasks within area supported.
  • Provide maintenance and general upkeep of administrative items such as quarterly reports or other financial statements, as well as company records, as needed.
  • Support the collection of materials related to various administrative needs for team members.
  • Takes notes or transcribes as necessary in meetings and other office communications to ensure accurate information is recorded for team.

Skills & Software Requirements:

  • Proficient in technologies such as MS Office, telephone, teleconferencing, web conferencing (Tandberg).
  • Associates or Bachelor's degree preferred
  • 0-2+ years relevant experience
