Description

The Administrative Assistant provides a wide range of support to Chief Financial and Chief Information Officers of Axcess Financial.  Much of this support is highly confidential and complex in nature.  Assists with management of projects, meeting and travel coordination.  A high level of professionalism is required in order to communicate appropriately and effectively with internal and external contacts.  Initiative and judgment are required in the absence of specific direction from the executive.  Serve as a liaison with others within and outside the company regarding administration. 

 

Key Responsibilities:    

 

  • Coordinate schedules, make appointments and arrange travel
  • Answer, screen and direct incoming calls, determining those that can be handled by subordinates to the executives.
  • Prepare outgoing mail and other correspondence, while responding to incoming mail not requiring the attention of the executive.
  • Plan meetings, agendas, reserve and prepare facilities
  • Perform complex administrative duties involving Excel spreadsheets, Word and Powerpoint
  • Assist in preparation of administrative reports and distribute such reports to the appropriate people
  • Interface with all levels of the organization
  • Follow up with departmental managers to ensure deadlines are met for the CFO/CIO
  • Assists in invoice coding and ensures timely administration and payment of vendors for respective departments
  • Serve as a resource to the Finance and Information Technology departments

 

 

 

Skills Description

Minimum Knowledge, Skills and Abilities Required:
Associates Degree or equivalent.
2-3 years administrative experience
Functional Skills:
Ability to type, edit and proof general business correspondence
Intermediate to advanced skills in Excel, Word and Powerpoint
Strong attention to detail
High level of organizational skills
Take responsibility in resolving problems and finding appropriate resource
Works independently with an energetic approach
Exposure to standard office political landscape
